Account Coordinator

The Media Account Coordinator (MAC) assists in the set up and implementation of all new and existing media campaigns.  In conjunction with Operations, responsible for managing telemarketing/fulfillment proposal phase, set up, testing, and implementation. Assists in accurate and timely coordination of all activities within Hawthorne Direct internal departments, as they relate to client programs. Interfaces with potential and current clients in conjunction with Media Account Managers (MSAs), VP-MSA and Account Directors, as requested. Performs selected media and telemarketing research and analysis projects. Maintains constant interaction, communication and follow-up with internal and external clients in relationship to issues, requests and all other pertinent campaign information.

Qualifications / Requirements: 

  • Bachelor’s degree with one year relevant work experience, minimum of two years post high school education with two years related office experience.
  • Ability to work flexible hours as needed.
  • Occasional travel may be required.

Responsibilities:

  • Assists MSA’s with implementation and maintenance of all new and existing media campaigns.
  • Responsible for client report schedules, attending pertinent meetings and completing meeting agenda/notes, as assigned.
  • Coordinates activities of Hawthorne Direct as related to media campaigns as assigned by MSA or VP-MSA.
  • Responsible for completing telemarketing/fulfillment proposals, set up, testing, implementation, reporting and maintenance of assigned programs.
  • Provides written documentation of set up and subsequent changes to media, telemarketing and fulfillment, as well as, basic web integration (in conjunction with telemarketing/fulfillment setup) campaigns.
  • Completes and files all significant client communications to the intranet archive under specific client file.
  • Responsible for system maintenance for all media campaigns, tracking and invoicing telemarketing/fulfillment, and basic web integration services on a monthly basis.
  • Performs selected media and telemarketing research projects, analyzes and reports results appropriately.
  • Responsible for completing and distributing client contact reports and New Client/Show Information forms.
  • Responsible for interfacing with Information Systems on data integration challenges.
  • Maintains open communication with other departments in association with departmental and MAC responsibilities. Ensures teamwork between Media Account Management’s areas of responsibility and all other Hawthorne departments by assisting in the development/maintenance of processes and procedures for overall service quality, efficiency, company profitability and employee satisfaction.
  • Develops strong, professional and friendly relationships with clients; keeps abreast of all internal organizational changes - disseminates information.
  • Coordinates and communicates coverage information when out of office.
  • Acts as back up for MACs and MAMs in their absence, in conjunction with an assigned MSA for support.
  • Keeps abreast of industry breaks, news and changes by monitoring industry publications and videos for enhancing competitive clout.
  • Completes other duties and projects, as assigned, based on company needs.
